Submitting a proposal

This page provides information for EGU members interested in submitting a proposal to organise an EGU Galileo Conference.

Information required to fill in the proposal form

Organisation
  • Title and anticipated date of the conference
  • EGU division(s) relevance
  • Aims and scope of the conference, explaining its relevance, timeliness and novelty in detail
  • Summary of the context and justification, explaining why the EGU should support this event
  • Full programme details, including a) oral, discussion, and poster time blocks assignments; b) list of potential conveners; c) keynote lectures schedules and speakers; d) early career scientist presentations: schedules and speakers, if relevant
  • Composition of the programme committee, including affiliation and contact details of the members, as well as which proportion of the committee is made up of early career scientists and which proportion is female
  • Composition of the organisation committee, including affiliation and contact details of the members, as well as which proportion of the committee is made up of early career scientists and which proportion is female. Please also make sure that at least one member is familiar with the conference location you are proposing.
  • Participants, namely the anticipated number of participants, the proportion of early career scientists and anticipated top 5 countries represented. The organisers are expected to run a survey for this estimation.
  • Field trips, if planned, including a detailed description
Location
  • Lecture rooms requirements (number, capacity and seating style) and poster-board requirements
  • Technical requirements (projector, screen, sound, multiple power sockets, etc.)
  • Types of presentation (oral, poster, etc.)
  • Anticipated event location (country, region, type of location and venue, distance to closest airport, etc.)
  • Services (lunch, dinner, coffee break, social event, etc.)
  • Budget

Checklist for submission

  • Do you have EGU membership for the current year?
  • Do you have you all the information needed to complete the proposal form (see above)?
  • Have you checked that the organisation committee contains at least one member who is familiar with the proposed conference location?
  • Have you investigated the possibility of applying for financial support from other organisations?
  • Have you run a survey to estimate the number of participants?
  • Did you (the applicant) prepare a short CV in PDF format?
  • Have you thought about a journal where you could publish a special issue relating to your conference?

Submit a new Galileo Conference proposal

All proposals submitted will be considered for approval by the Topical Events Committee. Decisions for or against support are based on scientific merit, timeliness, relevance and feasibility of the proposal, and cannot be disputed by the applicant(s).

We currently accept applications for the time period March 2019 to February 2020 with a submission deadline of 28 February 2018 (CET/CEST).
